Local AI places request processing on equipment controlled by your company. An employee opens a workspace, asks a question or submits a document, and a model responds within the selected infrastructure. Buying a mini PC, however, does not by itself create a useful digital employee.

The parts around the model

A working installation runs models, stores authorised documents, retrieves relevant passages and carries out approved operations. Permissions, request queues and an activity log connect these functions. “Proposal prepared” should refer to an actual saved draft with an owner, rather than a conversational promise.

Connectivity is a separate design decision. A local model can run without an external AI service, while new email and CRM updates still depend on those systems. Identify which functions remain available offline and which need a live connection.

Example: answering a regular customer's enquiry

Consider an equipment supplier receiving a specification. An assistant matches items against the catalogue, highlights unknown descriptions and prepares a proposal structure. Prices come from an approved, dated price list. Alternative products are explicitly marked for the manager to approve.

The useful output is a reviewable document draft. Another employee can inspect its sources, assumptions and unresolved questions. When no suitable product exists, the correct response is to report the gap rather than invent a product code.

Choose a bounded first workflow

- A repeatable operation with a clear input: a message, document or request. - A limited source collection with a named owner. - An output whose quality can be checked before a customer receives it. - A manual fallback when the station is unavailable.

Start with one department. Compare preparation plus review time against the existing process, and separately track errors and cases where missing evidence prevents completion. This reveals which part of the workflow deserves expansion and which part needs better data first.
