A memory-rich AI mini PC can serve as a compact node for document workflows, retrieval and local models. Our approximate hardware reference is a Ryzen AI Max+ 395 system with 128 GB of memory, or an equivalent platform. This is a class reference, not a mandatory delivery model or a performance promise.

Installed memory is only one part of the specification

AMD lists a maximum memory capacity of 128 GB for the Ryzen AI Max+ 395. Actual mini PC configurations depend on the manufacturer. Model parameter count is not the same as its working memory requirement. Weight format, document length and simultaneous requests affect resource use. A model fitting in memory does not establish that employees will find its response time acceptable.

Test the complete request path

Use a representative work document and follow upload, recognition, retrieval, answer generation and source inspection. Repeat after several hours and with multiple users. Observe queues and long answers, rather than judging a single short demonstration.

For a procurement assistant, comparing two tables and processing a large scan can stress different components. The station needs to handle the complete workflow. If one difficult document blocks everyone else's requests, introduce a queue or schedule background processing separately.

Put operational requirements in the specification

- Verified support for the selected model and runtime on the actual operating system. - SSD capacity and performance, including room for documents and recovery. - Sustained cooling and acceptable noise at the installation site. - Network interfaces, UPS compatibility and serviceability. - Tests using your documents and agreed waiting-time limits.

Avoid buying capacity without a workload

First define active users, document types and acceptable queueing. Then compare configurations using identical assignments. A larger model helps only if improved output justifies extra waiting and maintenance. Keeping business workflows independent of the equipment vendor is another useful requirement for an AI Office installation.
