Customer support needs the right next step, not merely fast prose. A local model can draft knowledge-based replies and help operators find evidence. Start with an internal operator assistant before allowing independent customer responses.

Separate reference knowledge from live order state

Operating instructions change less frequently than delivery status. A document collection suits the former; the latter requires an authorised query to the active business system. Show when information was obtained and do not present yesterday's export as a current status.

Define situations requiring a person: unusual terms, conflicting sources, disputed configurations and questions outside the collection. Preserve context during handover so the customer does not have to start again.

Example: a product will not start

A customer reports a problem. The assistant retrieves the appropriate manual and suggests clarification questions for the operator. If the product version is unknown, establish it first. Do not combine steps from unrelated manuals or invent repair procedures.

When evidence is insufficient, create a specialist request with the description, actions already attempted, relevant materials and open questions. A good handover is valuable even when AI cannot resolve the issue independently.

Prepare a maintainable answer collection

- Assign owners to manuals and standard responses. - Record the products or versions each document covers. - Separate public information from internal notes. - Include uncertainty responses and handover rules.

Measure resolution quality

Evaluate source support, repeat contacts and handover completeness. A short response time can conceal a wrong answer. Also examine excessive escalation: it may indicate a knowledge gap or a task that is too broad. Expand coverage by fixing those causes, rather than making model wording less cautious.
